GETTING STARTED

First time users

The Xerox Trade-In Program unlocks value from your pre-owned technology products(s), making your new Xerox purchase even more affordable.  The purchase of a new Xerox laser or multifunction printer is required to participate in this program.  

What you get from the Xerox Trade-In Program:

Convenience: One fast and easy solution to turn your pre-owned products into cash to apply to a new Xerox laser or multifunction printer.

ROI: Reduce the cost of a new Xerox laser or multifunction printer by helping you realize the value from your pre-owned equipment.

How trade-in works:

  1. Register using the form on the left side of this page.
  2. Select the program you want to participate in from the top menu and follow the steps to build your free quote.
  3. Receive an instant quote value for your pre-owned product(s).
  4. Fax or mail in your confirmation email and your proof of purchase receipt for your new Xerox laser or multifunction printer.
  5. Ship your pre-owned product(s) using the prepaid shipping label/placard provided.
  6. Get your redemption check. Checks are issued approximately 45 days after the receipt and inspection of your traded product; and the receipt and validation of your proof of purchase – whichever is later.

Confirmation email

You will receive a confirmation email message after you successfully complete a trade-in online. This message will contain instructions on the next steps to complete your transaction. We recommend that you keep a copy for your records.

Combining items in a trade

The Fair Market Value Program allows you to trade in multiple product(s) and receive the current market value. You must purchase at least one new Xerox laser or multifunction printer.

Note: Promotional trade-in offers may have different rules that restrict how many products you can trade in per new purchase.

Shipping

Shipping Process

You must use the shipping label or shipping placard provided by the Xerox Trade-In Program, as it will be used to expedite tracking, identification and processing.

Within one business day of completing your trade, you will receive an email titled: "Xerox Trade-In Program shipping instructions.” Click on the link in the email to retrieve your prepaid, pre-addressed shipping label or shipping placard. A Microsoft window will direct you on how to print out your label or placard. Print two copies: Attach one to the shipment of your trade-in product and retain the second copy for tracking purposes.

If you are shipping multiple items, please package each item individually and use the appropriate label/placard for each item.

It is important to use the correct shipping label/placard for each individual item, as the label/placard is used to expedite tracking, identification and increase the speed of processing.

Schedule your pickup

  • For US customers call FedEx Ground toll-free at 1-888-777-6040 to schedule your pickup.
  • For Canadian customers call FedEx Ground toll-free at 1-800-474-9584 to schedule your pickup. Please inform the representative that you have a Red PRP Label and the shipper number is 5392874.

You have 30 days from the day you completed your on-line trade to return the product. Please note: if you are participating in a featured special trade-in promotion, please refer to the promotion-specific Terms and Conditions for required shipment timelines.

Lost shipping label

If you have lost your prepaid shipping label or shipping placard, refer to the email you received titled: "Xerox Trade-In Program shipping instructions” and click on the link to print out another label or placard. If you are experiencing difficulty printing your label, contact customer service at xeroxcustomerservice@marketvelocity.com for a replacement.

Packing guidelines

Please follow these guidelines when shipping your traded product. All product(s) must arrive in the condition stated by you during the trade-in transaction. You are responsible for packing your current product so it arrives in an undamaged condition.

What to include

Please include any documentation and accessories that originally shipped with your product, these items could include but are not limited to: warranty cards, keyboard, mouse, connection cables, USB/Serial cable, AC adapter, battery, paper trays, etc. Failure to include these items may impact the value of your trade.

For computers

Include your operating system software on CD or diskette, the Certificate of Authenticity, end-user license agreement, and manuals. If your system shipped with a restore CD, each of the above items will be on the restore CD, and not packaged separately. If you have a Microsoft operating system, please erase the operating system software from your device.

For printers

Remove printing consumables such as toner or ink cartridges and place them in a sealed plastic bag or wrapping. Pack these items with the printer. For inkjet printers, be sure to pack printer upright and mark on the outside of package "THIS SIDE UP." For Plotters, the freight carrier will pick up as-is; do not box.

How to package your item

Package the item(s) in a sturdy cardboard box designed specifically for shipping. To prevent theft during shipping, pack item(s) in a sturdy non-descriptive box using cushioning materials to keep the product secure during shipping. If "peanuts" or small form packing material is used, equipment must be bagged or shrink-wrapped first to ensure no packing materials get inside the equipment. Please ensure that all products are packaged SECURELY in box without room to move. Newsprint is not sufficient cushioning material.

Remove or cross out any old shipping labels, including the original shipping barcode.

Tape all edges on the sides, top, and bottom to make sure there are no rough edges that could be snagged by automated mail processing equipment. We do not recommend using masking or cellophane tape. Shipping tape that is 2-3 inches wide should be used.

Data Security

Hard Drive Security Removal

Before you ship your product, Market Velocity strongly recommends that you back up your data and then erase the data from your hard drive. Any files or data left on your system may be accessible to others if the data is not erased. As of 10/01/03, a freeware tool that may assist you in erasing your data can be found at http://www.pcinspector.de/emaxx/uk/welcome.htm. Download the free version of the software, which will allow you to erase the data to US Military standards for cleaning and sanitizing magnetic media.

In addition, there are several options available through the Trade-In Program to assist in the removal of your data. Desktop, Notebooks & Tablet PCs offer a one-time pass or a DOD Data scrub option and Printer-Laser and Printer-Multifunction trades offer a Data Scrub option. The DOD Data Scrub and Data Scrub options are available at a cost to the user. Descriptions of each option are:

One-Time Pass

This option is available free of charge on all Desktop, Notebooks & Tablet PCs traded-in through the Xerox Trade-In Program. This one time pass erases the disk partitions and renders the drive unreadable.

Data Scrub

The Data Scrub option is available on all Printer-Laser and Printer-Multifunction at a charge of $25 per drive traded-in through the Xerox Trade-In Program. Each byte is first overwritten with 01010101. The second overwriting pass uses 10101010. This cycle is repeated three times. The final overwriting pass is performed with random bytes generated with an ANSI X9.17c key stream generator. Disk caches are flushed after each overwrite, and the final overwrite is read-back verified. This method meets or exceeds the Purging requirements of NAVSO P5239-26, AFSSI-5020 and AR380-19. It is approved in DOD 5220.22-M for any reclassifying of Classified hard drives in secure Automated Information Systems, even those certified and accredited for Special Access Programs, but is not approved for Purging disks at any level above Secret. Due to the residual magnetization necessarily left to hold the disk tracking servo data, the only way to truly destroy disk data is through degaussing and destruction of the disk. However, the residual magnetization recovery techniques used by intelligence services require expensive laboratory equipment and are only practical for very small amounts of targeted data, as opposed to scanning entire hard drives for possibly interesting files.

Department of Defense (DOD) Data Scrub

The DOD Data Scrub option is available on all Desktop, Notebooks & Tablet PCs at a charge of $15 per drive traded-in through the Xerox Trade-In Program. Equipment with storage media will be scrubbed using a Forensic Data Scrub application that is in full compliance with Department of Defense 5220.22M guidelines, as long as the equipment traded in meets the guidelines of equipment condition as stated. Hard Drive Degauss – For drives/media received out of CPUs that are below Pentium 233 processor speed or for units that are received in non-working condition, a Degauss (de-magnify) of all drive media following the specific requirements of NATO (North Atlantic Treaty Organization), SEAP (Security Equipment Assessment Panel) for the secure erasure and destruction of information and data stored on magnetic media up to TOP SECRET level. Additionally our process meets German security approval DIN33 858.

PAYMENT AND PRICING

Typographical errors

In the event that a product is listed at an incorrect value due to a typographical error or miscalculation by the database, Xerox Trade-In Program shall have the right to refuse or cancel the transaction within seven calendar days after the date of the actual trade (see Terms and Conditions).

Check delivery

All checks are mailed via the U.S. Postal Service to the address designated in your transaction. Market Velocity, Inc. will issue your check approximately 45 days after receipt and inspection of your traded product and validation of your proof of purchase, whichever is later.

TRADE-IN PRODUCTS

Trade-In Products

All products we receive for trade-in are refurbished and resold.

Determining Product Condition

The following general guidelines will help you decide what condition your product is in:

  • A product is Excellent if:
    • It is in excellent working condition and needs no refurbishment
    • It has had regular maintenance in accordance with manufacturer recommendations
    • The body of the product is clean (i.e., no smudges, ink marks, dents, stickers, or scratches)
  • A product is Good if:
    • It is free from technical problems (i.e., it does not make noise or run slowly, is not missing pieces, does not have excessively worn parts, etc.)
    • The body of the product has only minor blemishes? (i.e., smudges, ink marks, dents, stickers, or scratches)
  • A product is Poor if:
    • The product has no major technical problems; it turns on and is in working condition but has cosmetic defects

Specific product condition guidelines for printing devices:

  • A printer is Excellent if:
    • It is in excellent working condition and needs no refurbishment
    • It has been maintained within manufacturer's suggested schedules
    • It feeds paper properly and has excellent print quality
    • The case and trays are clean (i.e., no smudges, ink marks, dents, stickers, or scratches) and are intact (i.e., no cracks, broken or missing pieces)
  • A printer is Good if:
    • It is in good working condition and needs only minor parts (rollers or separation pads) for refurbishment
    • It has been maintained within manufacturer's suggested schedules
    • It has no technical problems (i.e., paper feeds properly from primary trays and does not jam, has no unusual noises, has excellent print quality, and has properly functioning control panel)
    • The case and trays have only minor blemishes (i.e., smudges, ink marks, dents, stickers, or scratches)
    • The case of the printer and trays are intact (i.e., no cracks, broken or missing pieces)
  • A printer is Poor if:
    • It has no major technical problems.
    • It powers on, is in working condition, and can produce a test page
    • It has minor cosmetic defects and may have one or two cracked, broken or missing pieces that do not affect performance.

Conditions that make printers ineligible for trade-in

  • The printer has major technical problems (will not produce a test page, and/or will not power on, and/or will not feed paper through machine, and/or has a malfunctioning control panel)
  • The case of the printer has large cracks, is missing most of the original trays, and/or has broken or missing pieces)

Canceling a trade

In the event you wish to cancel your trade, simply send an email that includes your name and quote number to xeroxcustomerservice@marketvelocity.com requesting that your trade be canceled. Market Velocity, Inc. will send you an email confirming the cancellation. You may be asked, but not required, to provide a reason as to why you opted to cancel the trade.
