We are pleased to announce the new Xerox Trade-In Program managed by Market Velocity, Inc. This is an exciting program designed for Xerox Sales Reps, authorized Xerox resellers, and end users offering them the ability to trade-in or recycle their pre-owned technology product(s) quickly and easily and use the trade value towards the purchase of a new Xerox laser or multifunction printer.

Program Objectives

The primary purpose of the Xerox Trade-In Program is to encourage end users to update their technology and purchase new Xerox laser or multifunction printer. By offering a trade-in value on pre-owned technology product(s), Xerox can expedite the purchase process while helping the end user remove their pre-owned product(s). The Trade-in Program also encourages a non-Xerox user to purchase new Xerox products by taking back products from competitive manufacturers.

How the Program Works

  • A user (Xerox Sales Rep, authorized Xerox reseller, or end user) visits the Xerox Trade-In Program website, http://xerox.tradeups.com and enters all the pre-owned product(s) details -category (desktop, printer - laser, printer-multifunction, notebook, etc.), manufacturer, model number, quantity, and product condition -using simple navigation and pull-down menus.
  • Instantaneously, the user can view a trade-in value for their pre-owned product(s). Using a comprehensive, proprietary database, Market Velocity provides the highest possible aftermarket trade-in value to the user.
  • After accepting the Trade-in value provided, the user is asked to provide information regarding where to send the prepaid shipping label(s) that they use to return their pre-owned product and where to send their redemption check. If the Xerox Sales Rep is conducting the trade on behalf of their end user and is passing on the trade-in value up front, the Xerox Sales Rep can enter in the address of the end user for the shipping labels and enter the Xerox address for the redemption check. The shipping labels and the quote are valid for 30 days. The user will receive a confirmation email upon successful completion of the on-line trade.
  •  If the pre-owned product does not have a trade-in value, the website will ask the user if they would like a quote for recycling their product. The cost includes recycling and shipping of the pre-owned product to a Xerox recycler.
  • The user packs their pre-owned product and ships it back to the address provided on the shipping label.
  • The user then faxes the confirmation email and the proof of purchase of their new Xerox laser or multifunction printer to 770-925-9064. If the user doesn't have access to a fax machine they can also choose to send the proof of purchase via email to

  • The product is received and inspected to ensure the condition matches the condition stated by the user in the quote process.
  • Market Velocity mails the user (unless otherwise specified) a redemption check 45 days after the inspection and acceptance of the pre-owned product(s), and upon receipt of their proof of purchase for their new Xerox laser or multifunction printer and a copy of the confirmation email.

Program Overview for Xerox Sales Reps

Xerox is pleased to provide the user the ability to trade-in and receive value for their pre-owned technology product(s) so the user can make their new Xerox laser or multifunction printer purchase more affordable!

Prospective users simply go to http://xerox.tradeups.com where they are walked through the trade-in process. Users get a quote on their pre-owned technology product(s), return the product(s), fax in proof-of-purchase (invoice) for a new Xerox laser or multifunction printer and a copy of their Confirmation email and receive their redemption check directly from Market Velocity within 45 days after Market Velocity has received and inspected their returned equipment and received their faxed proof of purchase and Confirmation email whichever is later.

GETTING STARTED

First-time users
Xerox is pleased to provide users the ability to trade-in and receive value for their pre-owned technology products so the user can make their new Xerox laser or multifunction printer purchase more affordable!

As a Xerox Sales Rep, you may simply direct your customers to the site so they can complete the trade or you may conduct the trade-in on behalf of your customer.

  • Saves Money - Xerox helps the user reduce the cost of new Xerox technology by helping the user realize value from their pre-owned product(s).

How it works

  • The user tells us about their pre-owned technology product(s), (category, manufacturer, model) the product condition, quantity, and receives an instant quote for the value of their pre-owned product(s). If the product does not have a trade-in value, the user will be asked if they would like to receive a quote for the cost to recycle their product. Note: the user may receive a trade-in value from the Xerox Trade-In Program website without committment or registration, however, if the user chooses to proceed with the claim, they must register on the website.
  • The user ships their pre-owned product using the prepaid shipping label provided to the user.
  • The user may receive the trade-in value from the Xerox Trade-In Program website without registering.

Registration on the Xerox Technology Upgrade website
To complete their trade, the user will have to create a login, password and register.

Confirmation messages
Users of the program can expect to receive a Confirmation email message after they completed their trade/recycle. It is recommended that a copy be saved and one copy needs to be faxed to 770-925-9064 with the user's proof of purchase of their new Xerox laser or multifunction printer.

Combining items in a trade
The ability to submit several items in a given quote and receive one check is available. After completing their first item in their quote list, they simply identify via the pull downs the next product they are interested in receiving a quote for and click the "Continue" button.

Exceptions/Special Requests
It is important to understand that Market Velocity owns the relationship with the user of the program whether it is a Xerox Sales Rep, authorized Xerox reseller, or end user. Xerox has no control over the values quoted by Market Velocity as they are determined by market demand at a given point in time (see "Determining Values" under "Payments and Pricing").

Responses to emails will typically be within one business day. If the email comes in after business hours, a response will go out the next business day.

Canceling a Trade
In the event that the user wants to cancel their trade, the user simply sends an email with their name and quote number to xeroxcustomerservice@marketvelocity.com. Market Velocity will send an email confirming the cancellation.

 

General Services

Shipping methods
It is important to use our shipping label or shipping placard, as it will be used to expedite tracking, identification and processing.

After you have accepted the Xerox Trade-In Program terms and conditions, you will be presented a "shipping instructions" page. This page will provide the instructions you will need to follow in order to return your traded-in product. Within one business day of completing your trade, an email with the subject line Xerox Trade-In Program shipping instructions" will be emailed to the address you provided while registering. The shipping instructions email will provide the steps for retrieving your shipping label or shipping placard. The email will contain embedded links, simply click on the link and your prepaid, pre-addressed shipping label or shipping placard will appear. A Microsoft window will direct you on how to print out your label or placard. Print two copies, and attach one to the shipment of your trade-in product and retain the second copy for tracking purposes. If you are trading multiple items, a link for each item will appear in the email.

You have 30 days from the day you completed your on-line trade to return the product. The trade-in product must be shipped by the expiration date listed in the "Reference field" noted on the label.

If you experience technical difficulty in printing these items or you lose your shipping instructions email, please contact xeroxcustomerservice@marketvelocity.com.

Lost shipping label
If the user has lost their prepaid shipping label, they need to contact xeroxcustomerservice@marketvelocity.com with the following information for a replacement*.

*If the request for new labels is made after 14 days from the trade date, Market Velocity reserves the right to re-price the trade value. This is to prevent users from claiming lost labels to receive an additional 30 days to return their products.

Packing guidelines
The user is advised to follow these shipping tips when sending a product back to Market Velocity:

  • Back up all personal files on the system. Remove files, CDs, etc. and erase data on hard drive (See Erasing and backing up data - next page).
  • For computers, be sure to include your operating system software on CD or diskette, the Certificate of Authenticity, end-user license agreement, and manuals. If your system shipped with a restore CD, each of the above items will be on the restore CD, and not packaged separately. If you have a Microsoft operating system, please erase the operating system software from your device. 
  • For printers, be sure to remove printing consumables such as toner or ink cartridges and place them in a sealed plastic bag or wrapping. Pack these items with the printer. For inkjet printers be sure to pack printer upright and mark on the outside of package "THIS SIDE UP". For Plotters, freight carrier will pick up as is, do not box.
  • For all devices, please include any documentation and accessories that originally shipped with your product, these items could include: warranty cards, keyboard, mouse, connection cables, paper trays, etc. Failure to include these items may impact the value of your trade.
  • Package the item(s) in a sturdy cardboard box designed specifically for shipping. To prevent theft during shipping, pack item(s) in a sturdy non-descriptive box using cushioning materials to keep the product secure during shipping. If "peanuts" or small form packing material is used, equipment must be bagged or shrink wrapped first to ensure no packing materials get inside the equipment. Please ensure that all products are packaged SECURELY in box without room to move. Newsprint is not sufficient cushioning material.
  • Remove or cross out any old shipping labels, including the original shipping barcode.
  • Tape all edges on the sides, top, and bottom to make sure there are no rough edges that could be snagged by automated mail processing equipment. We do not recommend using masking or cellophane tape. Shipping tape that is 2-3 inches wide should be used.
  • Call FedEx ground at 1-888-777-7330 or drop off the package at a regional shipping location.  Be sure to keep the tracking number for proof of shipment.
  • Be sure to keep the tracking number for proof of return.
  • Products must be shipped within 30 days of the transaction in order for quoted value to remain valid.

Tracking
The user will be instructed to do the following to track shipments back to Market Velocity:

  • To track a package, go to www.fedex.com/us and select "Track". Real time status of any package shipped via Federal Express can be found at this site.
  • Carriers use tracking numbers to identify and trace packages as they move through the carrier's systems to their destinations. To track a package, the user enters their tracking number in the appropriate box, and then clicks the Submit button. If the package has been delivered, the user will see who signed for the package, its destination, and time of delivery.

Erasing and Backing up Data
Prior to shipping the product, back up any necessary data. Any files or data left on the system may be accessible to others. When packaging the device, be sure to include the operating system software on CD or diskette, the Certificate of Authenticity, end-user license agreement, and manuals.

If the system was shipped with a restore CD, each of the above items will be on the restore CD, and not packaged separately. If there is a Microsoft operating system, please erase the operating system software from the device.

Microsoft Windows 95/98 Backup utility
Use Backup to back up files stored on the hard drive. Files can be backed up via floppy disks, a tape drive, or another computer on the network. If the original files are damaged or lost, they can be restored from the backup. Backup can be started by clicking Start, pointing to Programs, pointing to Accessories, pointing to System and then clicking Backup.

If Backup is not shown on the Accessories menu, it is not installed. To find out how to install it, click Related Topics. For information about how to use Backup, click the Help menu in Backup.

PAYMENTS AND PRICING

Determining values
Products depreciate as they move from their introduction into the market. Technology advancements and short product life cycles make it advantageous for users to upgrade their equipment every 18-24 months. The values Market Velocity provides on pre-owned equipment are based upon the current wholesale price for a specific pre-owned product on the open market. These prices are determined by the market demand defined by Market Velocity partners, product availability, refurbishment costs, and shipping/handling fees. Information is collected from a variety of sources including used product dealers, retailers, exporters, recyclers and liquidators. An important factor in determining pre-owned product values is the current pricing of the latest technology. In many cases, due to competitive pricing for new technology, the user can actually replace their current product at a substantially lower price than previously paid.

Determining Product Condition
There are three categories to mark for product condition:

Excellent
The product is in excellent working condition and needs no refurbishment. Regular maintenance has been performed on the product in accordance with manufacturer recommendations. The body of the product is clean (i.e., no smudges, ink marks, dents, stickers, or scratches).

Good
The product is free from technical problems. (i.e., it does not make noise or run slowly, is not missing pieces, does not have excessively worn parts, etc.) The body of the product has only minor blemishes. (i.e., smudges, ink marks, dents, stickers, or scratches).

Poor
The product has no major technical problems; it turns on and is in working condition but has cosmetic defects.

Product conditions for Printing Devices:

Excellent
The printer is in excellent working condition and needs no refurbishment. The printer has been maintained within manufacturer's suggested schedules, feeds paper properly, and has excellent print quality. The case of the printer and trays are clean (i.e., no smudges, ink marks, dents, stickers, or scratches) and are intact (i.e., no cracks, broken or missing pieces).

Good
The printer is in good working condition and needs only minor parts (rollers or separation pads) for refurbishment. The printer has been maintained within manufacturer's suggested schedules. The printer has no technical problems (i.e., paper feeds properly from primary trays and does not jam, has no unusual noises, has excellent print quality, and has properly functioning control panel). The case and trays of the printer have only minor blemishes (i.e., smudges, ink marks, dents, stickers, or scratches). The case of the printer and trays are intact (i.e., no cracks, broken or missing pieces).

Poor
The printer has no major technical problems. The printer powers on, is in working condition, and can produce a test page. The printer has minor cosmetic defects and may have one or two cracked, broken or missing pieces that do not affect performance.

*Values for equipment will vary as follows:

  • Trade values for products listed in good condition will generally be 85% of excellent condition.
  • Trade values for products listed in poor condition will generally be 15% of excellent condition.

Typographical errors
In the event that a product is listed at an incorrect price due to a typographical error or miscalculation by the database, Market Velocity shall have the right to refuse or cancel the transaction within the first seven (7) calendar days following the date the trade is initiated.

Check delivery
Upon successful inspection of the product(s) received, Market Velocity will issue a redemption check approximately 45 days after they inspect and accept the product(s) and have received a faxed copy of the Confirmation email and proof of purchase of the new Xerox purchase. All checks are mailed via U.S. Postal Service to the address designated in the transaction.

Missing checks
If a check is not received in the time frame stated above, the user can either send an e-mail message to xeroxcustomerservice@marketvelocity.com and they will research the issue.

PRE-OWNED PRODUCTS

Differences in product condition (As Stated in the Terms and Conditions)

Differences in Product Condition and Condition Statement
To receive their redemption check, the user must accurately state the current product's condition. Market Velocity will perform an inspection upon receipt of the user's product. If the product's condition differs materially from that which was described, Market Velocity reserves the right to re-price the transaction quote using the same condition parameters originally available to the user. The user agrees to state product conditions accurately and to the best of their ability based on the guidelines posted on the site. Packing and shipping recommendations should be followed in order to avoid possible damage or loss. The user is responsible for any damages that may occur to their product while in transit if they do not follow packing and shipping recommendations. If the current product(s) were received and through the inspection process, it was determined that the product condition was misrepresented by the user and there is no trade value, Market Velocity reserves to right to charge the user a recycling fee for the disposition of this product. If the product can be returned to the user, the user will be responsible for any and all associated shipping costs.

Refurbishment/Disposal
All products received by Market Velocity are refurbished and resold, or disposed of under applicable Environmental Protection Agency guidelines.

TERMS AND CONDITIONS

In order to participate in the Xerox Trade-In Program, you must purchase a new Xerox laser or multifunction printer.  Purchase of a new printer must be made either 30 days prior to or 30 days following the trade transaction date. Xerox Trade-In Program is available only for purchases of a new Xerox laser or multifunction printers direct from Xerox or from an authorized Xerox reseller or authorized dealer.  The program is not valid on refurbished product, reseller demo units or product purchased/leased through internet auctions, or from any other unauthorized reseller of Xerox product. Purchase of supplies, accessories, services and support do not qualify for this program.  To receive your redemption check, you must fax your Confirmation Email and proof of purchase receipt to Market Velocity, Inc. at 770-925-9064.  In addition, you must return the traded product using the pre-addressed, prepaid shipping label/placard provided.  
 
Xerox Trade-In Program is a service provided to Xerox customers by Market Velocity, Inc., an independent third party. Xerox is not involved in the transaction between Market Velocity, Inc. and Xerox customers. Any and all transactions conducted on this site are solely the responsibility of Market Velocity, Inc. and such visitors. By clicking on the "Accept" button below, you hereby release Xerox and its respective directors, employees, and agents from any disputes, claims, demands, and/or damages (actual or consequential) of every kind, whether known or unknown, arising out of, or relating to, your use of Market Velocity, Inc.'s services including, without limitation, uncompleted or completed transactions and any claims or disputes between you and Market Velocity, Inc.
 
The following terms and conditions apply to your use of the Market Velocity, Inc. service sponsored by Xerox. Terms are effective immediately upon posting. These terms and conditions may not be otherwise amended except for a special circumstance which must be in writing and signed by both parties. As the Xerox Trade-In Program states, Market Velocity, Inc. will send you a redemption check in approximately 45 days after receipt of our traded product and based on the trade value provided. In order to receive your redemption check, Market Velocity, Inc. must first receive your faxed proof of purchase receipt and Confirmation Email, and your traded product(s).
 
Removing Data from Your Current Product
You agree to remove all data from your current product before shipping it. See "Removing and Saving Data" on our website if you need assistance. By sending Market Velocity, Inc. your product, you agree to release them from any claim as to the product, the data stored in such product, or any information on any media used in conjunction with the product and which you send to Market Velocity, Inc. or for such data's security, integrity, confidentiality, disclosure or use. Market Velocity, Inc. will not be responsible for securing, protecting, keeping secret or otherwise managing any form of data or information that is stored on or otherwise contained in any product that you send to Market Velocity, Inc. (including any computer hard drive, ROM, CD-ROM, disk or other storage media of any form). You bear sole responsibility for removing or securing such data, or for transferring it to a medium under your continuing control.

Reseller Involvement
1.  The Xerox Trade-In Program is available to Xerox Sales Reps, end-users and authorized Xerox Resellers in the US & Canada only.
2.  If a Xerox authorized reseller is accepting these Terms and Conditions, the reseller is responsible for complying with all program requirements even if the end-user is designated to receive the trade-in redemption check.
3.  Xerox and Market Velocity reserve the right to request additional information from the end-user customer and /or Xerox authorized reseller at our discretion.

Releasing Rights to Your Traded Product

Once you send Market Velocity, Inc. your product, Market Velocity, Inc. cannot honor any request for return of the product and/or any data or information contained in said product.

Misrepresented Product
To receive your redemption check, you must accurately state your current product's condition.  To determine the condition of your trade-in product please refer to the "Determining Product Condition" section of the Help Page. Market Velocity will perform an inspection upon receipt of your product.  If the product's condition differs materially from that which you described, Market Velocity reserves the right to re-price your transaction quote using the same condition parameters originally available to you.  You agree to state product conditions accurately and to the best of your ability based on the guidelines posted on this site.
 
Fitness for Sale
You must own the right, title, and interest in any and all items you seek to sell through the Xerox Trade-In Program. Such items, or the sale and shipment of such items, must not violate any applicable laws, statutes, ordinances, or regulations including export laws. You are responsible for complying with any and all such laws. Any items you seek to sell through the site using Market Velocity's services: (1) shall not infringe on third party intellectual property rights (including copyrights, trademarks, patents, trade secrets or other proprietary rights), (2) shall not be counterfeit, stolen, or fraudulent.
 
 
Redistribution and Recycling of Products
Market Velocity, Inc. will be solely responsible for ensuring that this product is redistributed and/or disposed of in accordance with applicable Environmental Protection Agency regulations.
 
Transmission Errors
Market Velocity, Inc. makes every effort to ensure the accuracy of all information that you receive in relation to your traded product. In the event of typographical errors, technical inaccuracies, or product pricing errors or omissions, Market Velocity, Inc. reserves the right to correct the error within seven calendar days of the trade. If Market Velocity corrects the error, Market Velocity will provide you with the following options: (1) to proceed with the transaction based on the corrected information, or (2) to cancel your transaction, in which case we will promptly send your product back whenever possible or replace it with like product (i.e. similar make, model).
 
Sharing Information with Xerox
We will share your basic contact information (name, email address, address) with Xerox the sponsor of this trade-in program. Xerox may add this information to its customer data base. If it does so, the information will only be used in strict accordance with Xerox privacy policies.
 
THESE TERMS AND CONDITIONS ARE GOVERNED BY AND CONSTRUED IN ACCORDANCE WITH GEORGIA LAW, AND NO CONFLICT OF LAWS OR PROVISIONS OF ANY JURISDICTION WILL APPLY TO THESE TERMS AND CONDITIONS. BY CLICKING ON THE "ACCEPT" BUTTON BELOW, YOU AGREE THAT ANY ACTION AT LAW OR INEQUITY ARISING OUT OF OR RELATING TO THESE TERMS AND CONDITIONS WILL BE FILED ONLY IN STATE OR FEDERAL COURT LOCATED IN ATLANTA, GEORGIA, AND YOU HEREBY IRREVOCABLY AND UNCONDITIONALLY CONSENT AND SUBMIT TO THE EXCLUSIVE JURISDICTION OF SUCH COURTS OVER ANY SUIT, ACTION, OR PROCEEDING ARISING OUT OF THESE TERMS AND CONDITIONS.

Market Velocity Privacy Policy

At Market Velocity, Inc., we keep the user's personal information private and secure. When a trade is made on the Market Velocity site, the user provides their name, e-mail address, credit card information (if the user selects Boxes Option), address, and phone number. This information is used to process the trade, and keep the user updated on order status and special promotions and offers.

Why are we using Market Velocity?
Market Velocity provides Xerox a complete Trade-in/recycle solution from developing a customized trade-in/recycle experience for Xerox, to the disposition of the used equipment. A linkage with Market Velocity allows Xerox to dramatically reduce costs associated with the trade-in program, and offers one program across multiple product categories. Market Velocity will also manage the daily tactical elements of the program including email and phone support.

Who can use the Xerox Trade-In Program?
Anyone with pre-owned technology product(s) to trade towards the purchase of a new Xerox laser or multifunction printer. The program can be accessed directly via this link http://xerox.tradeups.com

How do I use the program?
The user will be able to access the Xerox Trade-In Program web site, enter the equipment to be traded and receive a quote for the value of that equipment. From that point, the user can decide if they would like to continue to work through the process to ship the used product back to Market Velocity. If a user accepts the quote and chooses to trade in their used equipment, they will need to return their used product back to address provided by Market Velocity on the shipping labels sent to the user, fax their Confirmation email and proof of purchase of their new Xerox laser or multifunction printer prior to receiving their redemption check.

How is the money for the trade dispersed?
Once the product in question has been received, inspected and approved by Market Velocity and a proof of purchase (copy of invoice) for the new Xerox laser or multifunction printer is received; Market Velocity will mail a redemption check for the value stated in the quote within 45 days.

Do I have to purchase new product via Market Velocity?
No. Market Velocity only needs to have the used product(s) returned in the condition as stated by the user for the user to receive their redemption check. The user can purchase their new Xerox product(s) from any authorized Xerox reseller.

What products will Market Velocity accept?
Market Velocity accepts most copiers, monitors, desktops, notebooks, printers, projectors, plotters, and tablet PC's from many manufacturers.

Is there a minimum amount of product that must be traded?
No, any number of product(s) can be traded. Users can trade in multiple printers or PCs against a single Xerox product if they wish.

What does Market Velocity do with the equipment they receive?
All equipment received by Market Velocity will be re-conditioned and sold into the secondary or used marketplace or recycled according to EPA guidelines.
